  • Our legitimate interest is to connect job seekers with potential employment opportunities and to provide recruitment and staffing services to business clients. Collecting and processing candidate information (such as contact details, work history, and qualifications) is necessary to evaluate professional suitability, match candidates to suitable roles, and present relevant profiles to hiring managers. The benefit to candidates is access to career opportunities and representation to employers, while the benefit to clients is filling workforce vacancies with qualified personnel. This processing presents minimal risk or impact to individuals, as candidates reasonably expect their professional information to be evaluated and shared with prospective employers when engaging with a recruitment agency or maintaining a public professional profile. We ensure candidate interests are protected by obtaining confirmation before sharing full profiles with clients and respecting candidates' rights to opt out or request deletion at any time.

  • Professional Sourcing Platforms: Online networks (e.g., LinkedIn) where professional profiles are publicly accessible or accessible via recruiter subscriptions.

  • Candidate Referrals: Individuals (such as existing candidates, colleagues, or industry contacts) who recommend job seekers to us. 

  • Former Employers & Referees: Past employers or academic institutions who provide employment references and verification details. 

  • Recruitment Partners & RPOs: Other recruitment agencies, Managed Service Providers (MSPs), or Recruitment Process Outsourcing (RPO) partners who share candidate profiles for joint placements or specific client vacancies.

How long we keep information

We maintain a strict data retention policy to ensure we do not hold personal information longer than necessary:

  • Candidate Profiles & CVs: We retain candidate personal data, CVs, and communication records for 2 years from the date of last active contact or engagement with us. After 2 years of inactivity, candidate records are either refreshed with consent or securely deleted from our database.

  • Placed Candidates & Financial Records: Where a candidate is successfully placed or engaged, we retain employment, right-to-work, and financial/payroll records for 6 years following the end of the engagement to satisfy UK statutory tax and legal obligations.

  • Client & Business Contacts: We retain business contact information for active clients and prospects for up to 3 years following the last business interaction or expiration of a commercial contract.

Data processors

Recruitment Software Providers (SaaS ATS & CRM systems operating within the UK and EEA).

This data processor does the following activities for us: They host and store our candidate database, manage applicant tracking, and store recruitment communications and interview notes.

Cloud Infrastructure and Business Communication Providers (IT and Email Hosting Sector, operating in the UK/EEA).

This data processor does the following activities for us: They manage our email communications, cloud document storage, and core office IT systems.
